Virtru has been a cornerstone security solution at iRhythm for over eight years, predating even Jeff Mosley's tenure as Manager of Identity and Access Management. 

"Virtru is literally the only application out there that we've identified that actually supports PHI in the manner that we need," explains Mosley. "It's been a staple application within our environment for years. It's one of the very few that have stuck around and, quite honestly, there's never really been a question of ‘Can we get rid of this?' We have to have it based on what we do."

For iRhythm, protecting patient data isn't just about compliance—it's fundamental to their business model and reputation. As Mosley puts it, "We have to protect our patients' data. We have our reputation at stake. Especially in this digital world where information is flowing through all different channels, you know, it's hard to tell what's spam, what's not, what's phishing... We hold our reputation and our customers' data with integrity."

The organization considers Virtru "almost priceless" because it allows them to communicate more efficiently without compromising security. While other security solutions have come and gone through iRhythm's growth from 450 to 3,000 employees, Virtru for Microsoft Outlook has remained essential to their security infrastructure.

If You Want It, You Got It: A Simple Solution for Anyone Who Requests It

iRhythm has established a policy where specific departments, like customer care and sales teams who regularly work with physicians and patients, automatically receive Virtru on day one. For other employees, the request process is streamlined—anyone who asks for Virtru receives it without question, reflecting the organization's commitment to data security.

"We don't question why somebody needs Virtru," says Mosley. "When people ask for it, it's definitely something that we provide. We walk the user through how to use it, provide a quick tutorial and documentation. We really tell them, 'Pay attention to what you're sending. Don't rely on notifications that there might be sensitive information—even if you think there might be something, go ahead and encrypt it with Virtru. Better safe than sorry.'"

The deployment process itself was straightforward, requiring minimal training for new users. "I work with a lot of very complex applications that take months to understand and digest. Virtru is just very simple to use, very simple to set up," Mosley explains. More recently, iRhythm has also begun implementing Virtru Secure Share for secure file transfers, particularly for larger files that exceed email attachment limits. The software supports files up to 15 GB in size. 

Delivering Business Value Through Security and Simplicity

Virtru has fundamentally transformed how iRhythm shares sensitive information, replacing outdated technologies like fax machines with a modern, secure approach. "Virtru has helped us step up our game from a technical perspective,” notes Mosley. "It's taken out the hassle of the old-school fax machine and sending a fax to a doctor because that was considered to be a secure method of transmission."

The solution has been enthusiastically embraced by users throughout the organization. Mosley reports, "I get a lot of positive feedback from people that it's just easy to use. It's not a complicated process." This ease of use is critical when iRhythm needs to share sensitive patient information with physicians or patients themselves. He adds, "When people get new laptops and things like that and it doesn't have Virtru, that's one of the first things that people are screaming for: 'I need this! I need to be able to send emails and I can't without it.'"
